Congress Project Coordinator

We are seeking a skilled Congress Project Coordinator to join our team and organize congresses, courses and webinars. The ideal candidate should have experience in event coordination and project management.

The organisation of events, congresses, webinars, and courses is a key part of the EAU’s ongoing educational efforts, managed by our in-house congress organiser, Congress Consultants (CC). These (online) events range in size from 50 to 12,000 participants.

For smaller events, CC operates in dedicated project teams, while for our largest event - the Annual EAU Congress - the entire Congress Consultants team is involved. The team is divided into logistics, registration, and scientific teams, working closely with various EAU departments, including Sales, Communication, IT, Finance, Guidelines, and Education.

As we continue to grow, we are looking for an enthusiastic and skilled professional to join our team:

Congress Project Coordinator

28-32 hours a week.

Your job

As part of the scientific team, you will help organise and shape the scientific programme of the four-day EAU Annual Congress—one of the world’s largest urology events. The congress features over 2,250 scientific presentations across more than 150 sessions, including lectures, debates, industry sessions, video sessions, and poster presentations.

Your responsibilities will include configuring sessions, coordinating follow-ups, inviting top experts to speak, and managing awards and accreditation. You will also collaborate with various EAU departments to ensure smooth execution. In this role, you will work closely with the Scientific Programme Manager and the Congress Manager to bring the programme to life.

Support with the organisation of small events, congresses, webinars and courses

In addition to your role within the scientific team, as a Project Coordinator, you will support the organisation of smaller events, congresses, webinars, and courses. While you will work independently, you will do so under the supervision of a Project Manager or the Congress Manager.

Depending on the size of the event, your responsibilities may include managing logistics, coordinating with suppliers, supporting the scientific programme, inviting faculty, organising social events, and working with the Communication and Sales Department on promotion, exhibitions, and sponsorships.

These diverse events will put your organisational skills to the test. To succeed in this role, you must be deadline-oriented, highly organised, and adaptable - able to switch gears quickly and solve problems efficiently.

Our requirements

  • HBO diploma or higher (e.g., tourism, hotel school, event management, or facility management preferred).
  • Passion for event organisation and coordination, with a strong interest in science and a proactive mindset.
  • Independent, committed, and able to navigate organisational structures effectively.
  • Excellent verbal and written English skills.
  • Experienced with Microsoft Office and familiar with congress management systems and CRMs
  • Willingness to travel within Europe (2-5 times a year for up to 8 days per trip).
     

What we offer

We offer you a challenging and diverse position in the international environment of the EAU Central Office in Arnhem. The salary range lies between €2,900 and €4,000 gross a month.
