What will you be doing?
As Assistant Coordinator, you'll play a key role in supporting the activities of our Patient Office. You'll work closely with the Patient Office Coordinators and help ensure that meetings, projects and events are delivered smoothly and professionally.
No two days are quite the same. One day you might be arranging travel for patient representatives from across Europe, and the next you'll be hosting an online webinar or coordinating translations with national organisations. You'll be the person who keeps everything organised, connected and moving forward. Your responsibilities will also include:
- Supporting Patient Office activities, including coordinating meetings and events, managing correspondence, arranging travel and accommodation, and maintaining accurate information in our CRM and database systems.
- Providing financial and administrative support, including processing purchase orders and reimbursements, supporting grant administration, managing remuneration processes, and maintaining records relating to patient organisations and representatives.
- Coordinating a variety of Patient Office projects and events, including translation initiatives, educational webinars, patient advocacy activities and other programmes that strengthen collaboration with patient organisations.
Who are you?
You are someone who enjoys helping others, thrives in a structured environment and loves bringing people and projects together. You're organised, approachable and calm under pressure. You can manage multiple tasks simultaneously without losing sight of the details, and you enjoy working in an international environment where collaboration is key. You love to travel to attend events including the Annual EAU Congress which may involve overnight stays and some weekend work.
We're looking for someone with:
- MBO+ level education or equivalent, preferably in an administrative or business support field;
- 5–10 years of experience in an administrative, coordination or support role;
- Excellent command of both English and Dutch, written and spoken;
- Strong Microsoft Office skills;
- Experience with CRM systems is an advantage;
- Excellent planning and organisational skills;
- A proactive, service-oriented attitude;
- Strong interpersonal and communication skills;
The ability to work independently whilst remaining a collaborative team player.
